Z Office has the ability to schedule reports to be sent to email (s). This is useful for owners to receive emails to check the store's progress directly from their email.
Create a Scheduled Task
- Go to Z Office > Tools > Scheduled Tasks > Create New
- The Add Scheduled Task window should appear:
- In the Type drop down, select the type of report you would like to schedule:
- Once selected, you can customise the task options:
Description: Enter a task description if needed and ensure that Task Enabled is ticked.
B. Start & End Time:
- Start Time is the date and time that the scheduled report will begin.
- End Time is the date and time you would like the task to stop running. i.e. If you only want to receive the scheduled report for a particular period. Otherwise, leave this blank if you’d like the task to run indefinitely.
C. Frequency: This is the frequency of when you want the scheduled report to occur.
D. Recur Every: This is how often you'll want to run the scheduled report.
E. Delay up to: This is the time to delay, to retry the task if the task fails the first time. You may leave this blank if you're not sure what to input.F. Report to Schedule: Select which report you wish to schedule
G. Report to Save as Type: Choose the file format of the document being saved e.g. PDF for easier viewing or excel for accounting purposes.
H. Email Addresses: Input the email addresses you wish to email the report to. Separate each email address with a space. e.g. test@test.com test2@test.com
I. Paths to save the report: You can choose to also save the scheduled report to a location on your computer or over the network. - Press to save the task.
- To test the task to confirm it works, highlight the newly created task and press Run from the left panel:
- To check that the task as run successfully, go to Z Office > Tools > Scheduled Tasks > Scheduled Task Events:
- Clear the filter in the left hand panel and click Apply or Search to view the most recent scheduled tasks:
You may repeat this as many times needed if the status still says 'Queued'.
Examples On Setting Up Scheduled Reports
This will schedule a report to be sent each morning for the previous day's figures.
Schedule Details
To set up a daily report, ensure that you have the Start Time set up to when you wish the scheduled task to run.
Frequency - Daily
Recur every - You can change this to a different number to have the scheduled report generate every X amount of days e.g. setting it to 1 will send the report every day.
Report Setup
You will receive blank reports/incorrect figures if you don't setup the Reports correctly as well.
- Go to Z Office > Reports > Manage Reports
- Search/bring up the report that you wish to schedule
- Go to the Report Design tab
- Under Default Dates:
The settings should be changed to the one above to ensure that for daily reports, you will receive the figures for yesterday's date.
If the report is a system report (indicated with a ) you will need to as you aren't able to update system reports.
To set up a weekly report, ensure that you have the Start Time set up to when you wish the scheduled task to run.
Frequency - Weekly
Run On Days - You can specify which days the report to run on and send to. e.g. every Sunday etc.
Recur every - You can change this to a different number to have the scheduled report generate every X amount of weeks e.g. setting it to 2 will create a fortnightly report etc.
Report Setup
You have receive blank reports/incorrect figures if you don't setup the Reports correctly as well.

- Search/bring up the report that you wish to schedule
- Go to the Report Design tab
- Under Default Dates:

Frequency - Monthly
Run On Days - You can specify which days the report to run on and send to. e.g. at the end of every month (Last)
Recur every - You can change this to a different number to have the scheduled report generate every X amount of months e.g. setting it to 3 will create a quarterly report
Report Setup

Till Period - Generally, we recommend to set the till period to be Latest Period -1.
