There are currently several options send the Repeat Token to customers.
- Paper - Evidence of Prescription
- Email/SMS from Z Dispense
Paper - Evidence of Prescription
The Evidence of Prescription is an A4 Sized form with the Repeat Token, that can be printed and given to customers.
The Evidence of Prescription is duplicated (i.e. 2 Copies print on 1 A4 Sized piece of paper) so that it can be torn and one copy is given to the customer and the other for the pharmacy's records if needed.
Pharmacies should not be using the Evidence of Prescription information to directly dispense the repeat (i.e. it is "Not for Manual Dispensing") - you will need to scan the QR Token into Z Dispense to dispense the next repeat.
Unfortunately, the Evidence of Prescription/Repeat Token cannot be legally printed on PBS Repeat Stationary.
Can I disable the Automatic Printing of the Evidence of Prescription?
Currently, the Evidence of Prescription will print automatically each time you finish dispensing a paperless electronic prescription.
This is a workstation setting and therefore you will need to change the setting on all your workstations.
To disable this setting:
- Go to Z Dispense > Workstation
- Scroll towards the bottom of the Printing Tab
- In the Repeat/Evidence of Rx section, tick "eScripts" to disable the automatic printing:
Email/SMS from Z Dispense
Electronic repeat tokens can be sent and resent via email or SMS from Z Dispense.
Issuing Repeat Tokens
Sending the repeat tokens through Email via Z Dispense is free. You may already have your email integration set up in Z Office to send reports and statements. If this isn't set up, please refer here to configure the settings.
Currently, issuing initial SMS repeat tokens are also free until July 2022 (unless things change again).
The Department of Health has been covering the SMS charges for the initial SMS token sent and this was to cease from July 1st, 2021. However, they've now extended the reimbursement until June 30th, 2022. Due to this change, there will be a charge per SMS token sent or resent from July 2022.
If you wish continue sending repeat tokens via SMS from July 2022 to send repeat tokens by SMS, we kindly request you to complete the SMS Agreement Form and send it back to sales@zsoftware.com.au.
If you do not wish to use the SMS token function and be charged for SMS tokens from July 2022, please let us know.
After scanning an electronic prescription, you should see the option to: "Send repeat token to:" in the middle panel of Z Dispense:
The system will automatically input the customer's electronic address that the doctor input in. By default, this setting is automatically enabled for you.
You can click on the email/mobile number to edit the address, change the delivery method, or to update the customer's details:
The repeat token will be automatically sent to the mobile number/email upon dispensing the script.
Issue Repeat Token Prompt
To minimise the impact of eScript repeat tokens not being sent back to patients, a prompt will alert you when an eScript does not have an email or mobile number set (ie. Electronic Address is NOT SET).
The Issue Token Prompt will appear before finishing an eScript:
Due to eRx requirements, pharmacies that use eRx may trigger the Issue Token Prompt when dispensing particular eScripts repeat tokens as the electronic addresses may NOT SET. To minimise the prompt appearing, you can set the Default Electronic Address for ePrescriptions to take the contact information from the patient profile in Z Dispense.
How do I disable the automatic sending?
By default, sending repeat tokens back to the patient will be automatically enabled for you but you are able to disable it on a patient, facility and workstation level.
Workstation Level
- Go to Z Dispense > Workstation > e-Prescription
- Under Repeat Token Method, select the drop down box and select Don't Send:
Facility Level
- Go to Z Dispense > Other > Facilities
- Search for the facility you wish to update and select the facility
- Go to the Other tab in the Facility Details window
- Under Repeat Token Method, select the drop down box and select Don't Send:
Patient Level
- Go to Z Dispense > Patients and search for the patient
- Click on "Update" or double click the patient you wish to update
- Go to the Other tab in the Update Patients Details window
- Under Repeat Token Method, select the drop down box and select Don't Send:
Reissuing/Resending Repeat Tokens
To reissue an eScript token in Z Dispense:
- After dispensing the electronic prescription, go to the patient’s Script History
- Right-click the script and select Reissue Token or press ‘R’ on the keyboard.
- The Reissue Token window will appear. Input or select the patient’s number and/or email and select the desired reissue options:
- Mobile: Send to the Patient’s Mobile Number
- Email: Send to the Patient’s Email
- Paper: Prints the Evidence of Rx (paper token)
- Update Patient Profile Mobile/Email to above details: Updates the inputted mobile/email above to the patient’s profile in Z Dispense - Press to reissue/print the Repeat Token
Reissuing repeat tokens through our internal SMS system (by right-clicking the script > Send SMS) will incur a fee of 15c per repeat token issued. Please make sure you use the Reissue token option to avoid being charged for reissuing SMS tokens.
