We will go through some of the common icons and colours seen when receiving invoices in Z Office.
You can access invoices from 2 places in Z Office:
- Go to Orders > Manage Orders OR
- Go to Orders > Manage Order Invoices
Common Symbols
Most of the symbols below will appear in invoices from both Manage Orders and Manage Order Invoices, however, those specific to the Manage Orders section will be specified.
Symbol | Appears | Meaning |
Blue and Green arrow |
It will appear next to the Rec Ex (C) Column within the invoice. | These arrows appear when the cost price, excluding GST, has been increased or decreased from previous pricing. |
Black star | It will appear beside the Stock Name within the invoice. | This indicates that GST is applied to the stock line. |
Blue Cog Wheel | It will appear on the far left hand column within the invoice. | This indicates that this stock is a System Stock Line. |
Crossed box |
This only appears in the Manage Orders section. It appears next to specific invoices and also next to specific stock lines within the invoice. |
Appearing next to an invoice means the invoice has out of stock lines. Appearing next to a stock line in an Invoice means the it is an out of stock item. |
Magnifying glass | This only appears in the Manage Orders section. It appears next to specific invoices. | This indicates that the invoice contains unmatched lines. To fix this, go to Unmatched Lines. |
Download arrow | It will appear left of the PDE column within the invoice. | This indicates that the stock line has been received into Z Office. |
Stock line ruled out |
This appears when adding stock line into an order or invoice. |
This indicates that the quantity of stock needs to be added into:
After the quantity is input, the strikethrough will disappear. |
Three Boxes | Appears next to specific stock lines within the invoice. | This symbol shows when a stock has marked as bonus stock. |
Yellow star | Appears next to specific stock lines within the invoice. | This indicates that this is a new stock line that has not been received before. |

Coloured Font
We will go through some of the common font colours that you see when receiving an invoice. For an explanation of each column, please refer to Receiving an Order.
Red: Cost is higher than WS1
Orange: Cost is lower or equal to WS1
Grey: The stock line has been received
Red: Expected cost is lower than Rec Ex (C)
Green: Expected cost is higher or equal to Rec Ex (C)
Grey: The stock line has been received
Red: Last unit cost is higher than WS1
Black: Last unit cost is lower or equal to WS1
Grey: The stock line has been received
Red: Value is 0 or negative
Black: Value is positive
Grey: The stock line has been received
Red: When markup is negative
Green: When markup is positive
Grey: The stock line has been received
