Merging stock cards is irreversible! Please ensure you have selected the correct stock cards to merge as we cannot unmerge them.
There are a few ways to manually merge stock cards.
- Two system lines (indicated by )
- Two PBS Items together/Ethical Stock with PBS Data
- Stock Cards managed by Z Freedom
- Stock with LinkID
- A non-system line into a system line
Manual Merge
Manage Stock
- Go to Z Office > Stock > Manage Stock
- Search for the stock card (s) that are duplicated in the system
To highlight the stock lines you wish to merge, press and hold down the CTRL button on your keyboard and left-click on the stock cards you wish to merge.
Alternatively, you can achieve the same result by creating a new stock group containing the stock you would like to merge and using the Select ALL button (or CTRL + A on the keyboard). This is useful if the stock you are trying to merge are not similarly named. - Right-click and select Merge Stock
- The Merge Stock window should appear:
There are three main scenarios you may encounter:
● More than 1 system line: it is possible to add more than 1 system line to the list, but nothing will happen if you try to complete the merge. Please ensure you have no more than one system line when proceeding to merge stock.
● A single system line & additional custom lines: you may add a many additional custom lines to the list and they will be merged into the system stock card.
● All custom lines: You will need to pick on of the custom stock cards to Select as Main while the other stock cards will be merged into this one. - You can further choose which of the stock details from the stock cards you would like to keep:
- When you are ready press Merge/Fix Selected. You will be met with a warning to confirm your selection:

Manual Merge Tool
You can also access the Manual merge too directly:
- Go to Z Office > Stock > Merge > Manual Merge
- The Merge Stock window should appear:
- Search for the stock cards you wish to merge and add them:

Bulk Merge
You can use the bulk merge tool to identify stock cards with duplicate data to merge in bulk.
- Go to Z Office > Stock > Merge > Bulk Merge
- The Bulk Merge Criteria window should appear:
- Select how you would like to match duplicate information in the stock cards. You can use a combination of PDE/APN/Name.
- You can also narrow the search by filtering stock groups or suppliers.
- Press OK to continue.
- The Bulk Merge Stock window should appear, bringing up a list of all the groups of stock that meet the search criteria:
Clicking on a group on the left-hand panel will reveal the duplicate stock lines that belong to the group on the right-hand side. The duplicate information will be highlighted for easier viewing. - Groups with suggested merging will appear with an next to the name. These are Merge Groups that are “straight forward” with a single non-system match to a system stock card (you can filter specifically for these matches at the top of the left-hand panel).

- You can merge the single Merge Group you are working or as well as multiple merge groups at a time. You will need to highlight the groups you would like to merge on the left hand panel by:
● Selecting all groups: you can use the Select All button at the top of the left-hand panel (or Ctrl + A on the keyboard with one of the groups already selected) to highlight all the list groups if you have finished customising your changes
● Selecting specific groups: you can select specific groups you have already worked on by holding Ctrl + left-clicking on the desired groups
● Selecting a range of groups: if you were working down the list and would like to merge all the groups you have applied changes to, you can hold shift + left-click on the first and last groups you have worked on and it will select all the groups in between - When you are ready press Merge/Fix Selected. You will be met with a warning to confirm your selection:

What does "Duplicate must contain HO stock" check box do?
The "Duplicate must contain HO stock" option checks for duplicate stock, where one of the duplicates is linked to Z Freedom/Head Office. Z Freedom is our multi-store platform that is currently in development.
Ideally, this option would only be visible to stores connected to Z Freedom.
