You can set the email subject and message/body when sending out statements, giving you better control on the messages send out to customers. This is achieved by applying a template when generating the statements to be emailed out:
Creating a New Debtor Statement Email Template
To edit the template of the emails being sent out:
- Go to Z Office > Tools > Document Templates > Create New
- Give the template a unique name:
- Add you required email subject - you can use the customer tags to personalise the email for each individual patient e.g. 'Pharmacy Debtor Statement for [CUST:firstName] [CUST:surname] [CUST:accountNo]':
- Add an email body - customer tags can also be used here in a similar way:
- Press Save
Applying a New Debtor Statement Email Template
To apply the template to the emails being sent out:
- Go to Z Office > Customers > Print Debtor Statements:
- Apply the usual settings you would use to generate your statements.
- Select the template you have created previously:
- Proceed to Email statements
- You can check how you email will look by selecting a customer and using the Preview Email button to see if your template has been applied correctly:
- Press Continue to email the statements.
