What's New in this Update?
Added Operations Dashboard
We have added an Operations Dashboard to highlight a few more metrics you may be interested on an operational level. The Operations Dashboard is accessible by going to Dashboard > Operations Dashboard:
Each tile has the option to “drill down” further to see a break down by store, then further by a report. To see the drill down, click on the button on the top right corner of the tile.
The drill down modal should appear:
You can further drill down the data by clicking on whichever store you wish to investigate further on to take you to the respective report.
Negative SOH Stocks
This tile will highlight the total number of stock and stock value of negative stock on hand.
To drill down, click on the, it will take you to the Negative Stock on Hand Report in Z Freedom:
Stocks Created at Store
This tile will show the number of stock created at the store by the pharmacy staff at a Z Office level i.e. this will exclude stock created from Z Freedom or product updates. This is to check if pharmacy staff are creating their own stock cards at store(s) (i.e. therefore not being managed by Z Freedom).
To drill down, click on the icon and it will take you to a special report in Z Freedom that is only accessible via the drill down (i.e. the report doesn’t exist in Z Freedom > Reports > Store Reports):
The report will show the Stock Name, Created Date and Staff Member that created the stock card.
Negative GP$ Sales
This tile will show the total number of receipt items (not receipt) and their total value that have a negative GP$ sale.
i.e. if have Item A and Item B on a Receipt, but sold Item A with a negative GP$, Item A will be included in this metric.
To drill down, click on the icon and it will take you to the Negative GP$ Sales Report in Z Freedom (nearly created):
Pending Price Changes
This tile will show any pending price changes at a store level. This is dependent on whether or not the Z Office has the setting to review price changes on (Z Office > Settings > Store Settings > General > Z Freedom Settings > Allow Review of Price Changes):
To drill down, click on the icon and it will take you to a special report in Z Freedom that is only accessible via the drill down (i.e. the report doesn’t exist in Z Freedom > Reports > Store Reports):
Added Supplier Deals
We have added the option to create and sync supplier deals from Z Freedom into Z Office.
We currently support 2 types of supplier deals:
- Stock Deals - these are deals on a stock level e.g. 5% off PANAMAX 500mg TAB 100 etc
- Assorted Deals - these are deals on a range e.g. order any Panadol items to get 10% off/free shipping etc
Creating a Stock Deal in Z Freedom
- Go to Z Freedom > Supplier Deals > Stock Deals:
- Click on the
button to create a new Stock Deal
- The New Stock Deal page should load:
Deal Name: Enter in the stock deal name
Discount Type: Fixed or Percentage
Stores: Select which stores the deal should be sent to
Deal Notes: Enter any deal notes
Start Date and End Date: Start and End Date of the Deal
- To add a deal, you can either manually add the lines through the
button OR import a spreadsheet through the
button.
To manually add lines into a stock deal:
- Click on the
button to load the Managed Stocks window:
- Search and add selected stock cards
To import lines from a spreadsheet:
- Click on the
button to load the Import Wizard window
- Upload the spreadsheet
- Select the Matching Criteria:
- Click Next
- Set the column mappings for the spreadsheet:
Required Fields: Please ensure that you select the Matching Criteria - APN/PDE + Supplier, MOQ and Discount Amount
Optional Fields: Net into-store (NIS) Cost, Notes, Start Date, End Date
- Once all the required fields have been mapped, click on Validate to check for any invalid lines etc.
- After the validation has been completed, click on Process to perform the matching process against Managed Stock
- Once happy, click on Import to import the valid lines
- Click on the
- Once the stock lines are added/imported, any issues will be flagged in red with hover-on tool tips. You will not be able to save the deal without fixing up the lines with issues.
We'd recommend sorting by the Error column to easily go through an lines that may have issues.
- For Stock Deals, you will need to set the Supplier against the Stock Deal. The quickest way to update these would be through the bulk edit option. You can select multiple stock cards and click on the
button to bring up the Bulk Edit window:
- To edit individual lines, click on the row to edit the details inline:
- To add multiple “copies” of the same stock to have different “tiers” of deals, you can use the copy button
to copy the selected row:
- Once you happy with all the changes, press save
- A confirmation window will appear:
- Press Continue
- The Stock Deal should be synced down in Z Office
Creating a Stock Deal in Z Freedom
- Go to Z Freedom > Supplier Deals > Assorted Deals:
- Click on the
button to create a new Assorted Deal
- The New Stock Deal page should load:
Deal Name: Enter in the stock deal name
Supplier: Select the Supplier for the deal
Stores: Select which stores the deal should be sent to
Deal Notes: Enter any deal notes
Start Date and End Date: Start and End Date of the Deal
Deal Terms: Enter in multiple deal terms if available. Click on thebutton to enter in terms:
Term Type: Unit or Dollars

Viewing Suppliers Deals in Managed Orders in Z Office
To access the Supplier Deals in Z Office:
- Go to Z Office > Orders > Manage Orders
- On the top menu, click on the Supplier Deals link:
- The Supplier Deals window should appear:
- From this window:
a. Filter: You can filter for particular suppliers to see any deals for those suppliers
b. Stock and Assorted Deals: You can select if you want to see Stock or Assorted Deals. Z Office will highlight in red any start dates before or after today’s date to flag that the deal has either expired or hasn’t started yet.
c. Stocks: Once you have selected a deal, you can select the stock cards in the deal and either Add to Existing Order or Add to New Order.These options will take into consideration the MOQ of the deal and will automatically apply them to the order.
Viewing Supplier Deals in Add/Edit Orders in Z Office
You can also view the Supplier Deals within the Add/Edit Orders in Z Office.
- Go to Z Office > Orders > Add New Order > Create Manually
- At the top menu, click on Supplier Deals to bring the Supplier Deals side panel:
This will show the Supplier Deals (Stock Deals and Assorted Deals) against the supplier.
- There is also a Supplier Deal indicator that needs to be added for the first time. Click on the
icon and tick on the Deals option to appear:
- As you add stock into the order, if the stock card has a supplier deal for that supplier, the supplier deal icon will appear against that stock card and you’ll be able to see the details on the side panel as well:
- To apply a deal, click on the deal to apply the MOQ as the Order Qty
- Continue with the order as per usual
Updated Managed Stocks and System Stocks
We have updated the Managed Stocks and System Stocks page to use a new grid and have additional columns to allow you to quickly see relevant information.
Added Default Flags for PDEs and APNs
We have added the default flags option to the PDE and APN Details section within the stock details page. This will assist with the new PDE/APN column added to the Managed Stocks page (shown above). The default flags will also sync down to the selected stores.
Setting or Updating the PDE/APN Default Flag
- Go Z Freedom > Stocks > Managed Stocks > Select a Stock line
- Go to PDE/APN Details
- Select a PDE/APN you would like to set/change as default
- Click on the
button to set/update the Default PDE/Apn
- Press Save
Other Changes in this Update
- Renamed "Lock Stores" to "Lockdown
- Added Negative GP$ Sales Report in Reports (as part of the Operations Dashboard tile)
What's Fixed in this Update?
- Fixed Store Report Search for Item Description/PDE and APN not working
- Fixed the Report using incorrect Start and End Dates
