You can run a Stock Variance Report to compare variances in cost (excluding GST) and SOH after doing a stocktake. This will help you pinpoint any major fluctuations in stock quantity or cost.
Manually Running a Stock Variance Report
To manually run a Stock Variance Report:
- Go to Z Office > Reports > Manage Reports > Stocktake Variance Report:
- Enter the Start Date and End Date you wish to run the report for. The Start Date and End Date will take into consideration when the stocktake was created:
- Press Generate to run the report
- The report should generate with the following columns:
Stocktake No: This is the stocktake number that the stock was stocktaken against
Date Counted: This is the date when the stock card was counted
Stock Name: The stock name of the stock card
Stock PDE: The default PDE of the stock card
Cost Ex ($): The Cost Excluding GST of the stock card. This is the current cost of the stock card
Variance ($): The variance in cost due to the variance in stock (Cost excluding GST x Stock on Hand Variance)
Counted SOH: The entered SOH when performing the stocktake
Expected SOH: The SOH before performing the stocktake
Variance: The difference between the Counted SOH and Expected SOH
Scheduling a Recurring Stock Variance Report
You have the ability to customise a report template to your liking and scheduling it to run periodically (e.g. quarterly, half-yearly, annually) depending on how often you do your stocktakes.
Configuring a recurring Stock Variance Report
To configure a recurring Stock Variance Report Template:
- Go to Z Office > Reports > Manage Reports
- We recommend doing a blank search and starting with the existing 'Stocktake Variance' report and tweaking it from there if required.
- Double-click on the report you wish to schedule. From here you can decide on how the report results are grouped and sorter e.g. by stocktake number, by stock name
- Navigate to the 'Report Design' Tab and set the default Start and End dates for your scheduled report:
The following example will report from the beginning of the month (3 months ago) to the end of the current month to be scheduled to run on the last day of the month.
Start: Start of Month Offset: -2 months
End: End of monthThe following example will report from the beginning of the month (3 months ago) until yesterday (the last day of last month if it is scheduled to run on the first day of the month)
Start: Start of Month Offset: -3 month
End: Start of Month Offset: -1 dayThe following example will report from the beginning of the last month to the end of the last month and compare the figures with the same month for the previous year.
Start: Today Offset: -1 year
End: Today - Choose which columns you would like to include in your report:
If the columns in your report are being cut off, you can adjust the width in the Columns Layout section at the bottom of this menu. - Click Save as New
Creating a recurring Stock Variance Report Task to Email
- Go to Z Office > Tools > Scheduled Tasks > Create New
- In the Add Scheduled Task window, click on the 'Type' dropdown box and select Report:
- Once selected, you can customise the task options:
Description: Enter a task description if needed and ensure that Task Enabled is ticked.
B. Start & End Time:
- Start Time is the date and time that the scheduled report will begin.
- End Time is the date and time you would like the task to stop running. i.e. If you only want to receive the scheduled report for a particular period. Otherwise, leave this blank if you’d like the task to run indefinitely.
C. Frequency: This is the frequency of when you want the scheduled report to occur.
D. Recur Every: This is how often you'll want to run the scheduled report.
E. Delay up to: This is the time to delay, to retry the task if the task fails the first time. You may leave this blank if you're not sure what to input.F. Report to Schedule: Select which report you wish to schedule
G. Report to Save as Type: Choose the file format of the document being saved e.g. PDF for easier viewing or excel for accounting purposes.
H. Email Addresses: Input the email addresses you wish to email the report to. Separate each email address with a space. e.g. test@test.com test2@test.com
I. Paths to save the report: You can choose to also save the scheduled report to a location on your computer or over the network. - Press Save
- To test the task to confirm it works, highlight the newly created task and press Run Scheduled Task in the left panel:
