Z Dispense enables you to add notes in multiple locations on the system depending on the note's purpose. The available note settings include Patient Notes, Doctor Notes, Drug Notes and Script Notes. In this article, we will go through how to add and view each type of note in Z Dispense.
Patient Notes
There are 2 types of Patient notes that can be added: General Patient Note and Patient History Note.
General Patient Notes
General Patient Notes are notes regarding a patient that you may want to keep on hand for general dispensing use. eg. Patient preferences on brands. These notes can pop-up when you select the patient in Z Dispense so that the pharmacist or dispense tech are alerted to the information.
To add or view General Patient Notes:
- Find and select the patient in Z Dispense
- Select the pencil icon on the right of the patient name OR press F8 on your keyboard to bring up Patient Details:
- Select the Notes tab to add or view any existing notes for the patient
- Press the plus button on the right hand corner to add a note.
- The Add New Note window will appear:
- Enter the following information:
- Heading: The title of the note.
- Detail: The detailed information of the note.
- Author: The staff that created the note. - You have the option to tick Alert which will allow the note to popup as a Patient Note when the patient is selected:
- If the Alert setting is enabled, you will also have the option to tick Auto-close which will automatically remove the popup note from your dispense screen after a short period of time.
- Press to add the note and then press in the Patient Details window to save the note.
Alternatively, you can also add and see existing Patient Notes by clicking the notepad button next to Patient:
This will bring up the Notes window:
You can press the plus button on the right hand corner to add a note or highlight the existing note and press the pencil button to edit.
Patient History Notes
Patient History Notes are notes that you can add to a patient's Script History section. These notes can be used to document patient events or interactions. eg. the patient brought in a new set of scripts to keep on file.
To add and view Patient History Notes:
- Find and select the patient in Z Dispense.
- Press the notepad pencil icon in the Script History panel:
- The Add New Note window will appear:
- Enter the following information:
- Heading: The title of the note.
- Detail: The detailed information of the note.
- Author: The staff that created the note. - Press to save the note.
- You can see the Note you added and any other Patient History Notes in the Script History panel:
Doctor Notes
Doctor Notes can be added for specific doctors in Z Dispense and set to pop-up when the doctor is selected during dispensing.
- Go to Z Dispense > Doctors
- Search and select a Doctor and go to the Notes tab:
- To add a note, press the plus button on the right hand corner to add a note.
- The Add New Note window will appear:
- Enter the following information:
- Heading is the Title of the note
- Detail is the main body and where the information of the note is entered
- The Author of the note if necessary - You have the option to tick Alert which will allow the note to popup as a Doctor Note when the doctor is selected for dispensing:
- If the Alert setting is enabled, you will also have the option to tick Auto-close which will automatically remove the note for you after a short period of time.
- Press to add the note and then press in the Patient Details window to save the note.
Drug Notes
Drug Notes are notes that can be added to specific drug products (i.e. stock line) in Z Dispense. These notes can pop-up whenever you select the product for dispensing so that the pharmacist or dispense tech are alerted to the information.
Drug Notes are only specific to the product/stock line that it was added to e.g. adding a drug note to Panadol Tablets 20 pack will only add it to this stock line and not other brands or forms of the drug.
To add or view Drug Notes:
- Go to Z Dispense > Drugs
- In the Drug Selection Window, find and highlight the drug product you want to add the note to and press Update:
- The Drug Details Window will appear. Select the Notes tab to add or view any existing notes for the drug:
- To add a note, press the plus button on the right hand corner to add a note
- The Add New Note window will appear:
- Enter the following information:
- Heading: The title of the note.
- Detail: The detailed information of the note.
- Author: The staff that created the note. - You have the option to tick Alert which will allow the note to popup as a Drug Note when the drug is selected for dispensing:
- If the Alert setting is enabled, you will also have the option to tick Auto-close which will automatically remove the note for you after a short period of time.
- Press to add the note and then press in the Patient Details window to save the note.
Script Notes
Script Notes are notes that can be added to specific scripts and accessed during dispensing or after the script has been dispensed. These notes can also be set to pop-up when the script is edited.
To view and add Script Notes while dispensing:
- Enter in the details of the script.
- Press the notepad pencil icon next to Rx Notes. If the notepad pencil icon is coloured, it means there is an existing note on the script. If the icon is grey, it indicates there are no notes on the script (eg. when dispensing new script):
- The Notes window will appear to add or show any existing notes:
- Press the plus button on the right to add a note.
- The Add New Note window will appear:
Enter the following information:
- Heading: The title of the note
- Detail: The detailed information of the note
- Author: The staff that created the note - You have the option to tick Alert which will allow the note to popup as a Script Note when the script is edited:
- If the Alert setting is enabled, you will also have the option to tick Auto-close which will automatically remove the popup note from your dispense screen after a short period of time.
- Press to save the note.
To view and add Script Notes after the script is dispensed:
- Scripts with Script Notes can be identified from the Script History Panel as they will appear with a notepad pencil icon to the right of the script.
- Right-click the script and select View Script or highlight the script and use the keyboard shortcut V to bring up the Script Details window:
- Select the Notes tab to add or see any existing notes for the script:
- Press the plus button on the right hand corner to add a note.
- The Add New Note window will appear:
- Enter the following information:
- Heading: The title of the note
- Detail: The detailed information of the note
- Author: The staff that created the note - You have the option to tick Alert which will allow the note to popup as a Script Note when the script is edited:
- If the Alert setting is enabled, you will also have the option to tick Auto-close which will automatically remove the popup note from your dispense screen after a short period of time.
- Press to add the note and then press in the Patient Details window to save the note.
