Viewing Existing Staff
- Go to Z Office > Other > Staff Members > Manage Staff
- The Manage Staff tab should appear:
a. Search - Search for a staff member
Alternatively, if you do a 'blank search' (i.e. press the search button without inputting anything in the search field) - Z Office will show all the staff members
b. Staff Options
i. Edit Staff - View and Edit staff member
ii. Copy Staff to New - This will copy the staff permissions to a new staff member which you can save and create
iii. Delete Staff - Delete/Remove a staff member
iv. Print Staff List - Print a list of the staff
Creating or Editing Staff
Creating Staff
- Go to Z Office > Other > Staff Members > Create New Staff
- The Add New Staff window should appear. We'll go through the settings below.
Editing Staff
- Go to Z Office > Other > Staff Members > Manage Staff
- Double-click or press Edit Staff to open up the Edit Staff Details window. We'll go through the settings below.
Add/Edit Staff Details Window
Staff Details
- First Name - The first name of the staff member.
- Surname - The last name of the staff member.
- Staff Group - This is the staff group that the staff member will be placed in. Staff Groups are useful such that it helps categorize staff members e.g. Junior, Senior etc. and standardize staff permissions (To make changes to permissions for staff groups please refer to our article).
- Email Address - Email address of the staff member.
- Phone - Phone number of the staff member.
- Status - Active or Suspended. Suspended Staff won't be able to access Z Office or Z Register.
- Created - When the staff member was created.
Dispense & Point of Sale Details
Please ensure you set a password if the staff member needs access to Z Office.
- Registration # - If they're a pharmacist, you can enter their AHPRA Number.
- Initials - The pharmacist's initials for dispensing scripts.
- Register Code - The staff member's login code to Z Register.
- System Pin - The pin needs to be set for the staff member to login to Z Office.
- Pin required at register to being sale - Enabling this option will require staff members to use a pin to Z Register.
Creating, Clearing and Resetting Passwords
To create or update a staff member's password, press the Change button.
The system will prompt to input the new password or to input your old password to change your password.

If you have forgotten your password then you can use the Clear or Reset function to clear your password.
For the Clear function: This is useful if you no longer want to use a password for your account. However, it can also be help reset your password as you can clear the password, then change it.
For the Reset function: This is useful if you need to reset a staff member's password and allow them to set their password next time on login:
Office and Register Permissions
This section allows you to manage permissions for individual staff (see below). For instructions on how to change permissions for staff assigned to staff groups please refer to our article.
Managing Staff Permissions
The Office Permissions and Register Permissions tab provides a list of functions that we can limit staff members to have access to. Ticking a permission will grant the user access to that function.
e.g. Home > Dashboard, the Staff Member will be able to see the Office Dashboard etc.
Setting up Permissions for Individual Staff Members
To set up individual staff permissions for staff members (unique to the staff member), you will need to ensure they do not belong to a staff group.
To make changes to individual staff permissions:
- Select the tick boxes for the permissions would would like to grant to your staff:
- To apply permissions for Z Register, select the 'Register Permissions' tab before applying changes:
- Press Save.
Setting up Permissions for Staff Groups
You can set up global permissions for existing staff groups (see article). This will allow you so quickly assign a preset of permissions by assigning the staff member to the staff group.
Changes to permissions for members in staff groups can only be made to the staff group itself. If you would like to make changes to permissions for staff groups, please refer to our article here.
