The way that you submit claims and send data to PBS Online/Medicare is changing. From March 13th 2022, PBS Online is moving to web services within PRODA.

Requirements for PBS Web Services
Please ensure that you have completed Steps 1-3 on our checklist.
You will also need to be on at least Z Dispense v2.4.85+ to proceed with Step 4 and 5 below.

Step 4 - Register B2B Device
B2B Devices (or Devices) is the new method of how we access PBS Online through the Web Services. You will need to register a device and enter these details in Z Dispense. You don't need to create multiple B2B Devices for each workstation.
For more information, you can refer to the Services Australia Guide: Managing B2B Devices, however we also have the process listed below.
If you manage 1 pharmacy in PRODA (i.e. no multiple pharmacies within your PRODA account), please follow the steps below to create a B2B Device in PRODA.
- Login to PRODA
- Select Organisation
- Select which organisation you wish to add a B2B Device/set up PBS Online for:
- Select B2B Devices then Register New B2B Device
- The Register New B2B Device page should appear:
Enter a Device Name. The name needs to be descriptive enough so you can recognise the device purpose or what service transactions it’s performing. You can add further details to describe your device in Description which is optional.
It’s generally recommended to use your pharmacy name and your PBS approval number to make it easier for you to remember what the device is for e.g. zsoftware_12345X - Select Register Device
- You have now registered the Device. You’ll get a unique Device Activation Code that is valid for 7 days.
Please record this code down as it’s not stored within your account. This code is only valid for 7 days and once it expires, you will need to generate a new code.
If you manage multiple pharmacies as subsidiary organisations in PRODA, please follow the steps below to create a B2B Device in PRODA.
- Login to PRODA
- Select Organisation
- Select your organisation:
- Select Subsidiary Organisations then select which pharmacy you wish to add a B2B Device/set up PBS Online for:
- Select B2B Devices then Register New B2B Device
- The Register New B2B Device page should appear:

Step 5 - Setting Up PBS Online Web Services in Z Dispense
Setting up PBS Online Web Services is a store setting and therefore will only needs to be applied on 1 computer. You will need to restart Z Dispense on your other workstations but don’t need to create multiple B2B for each workstation.
- Login to Z Dispense
- Go to Store > Store Configuration > PRODA - PBS
- Enter in the Device Activation Code, Device Name and Organisation RA from the details from above under the PRODA Registration settings:
- Select the Activate Device button
- The system should return a Success message in the Response field:
- PBS Web Services should now be setup in Z Dispense. Restart Z Dispense on other workstations.
By default, your B2B Device will only be valid for up to 6 months. You will need to extend your device expiry before the expiration to ensure that you continue to have access to PBS Online Web Services.
